With Gmail, you’ll often login to your email using the web interface. If your account gets hacked or you forget your password, all of your important emails and contacts may be made inaccessible or even deleted. You can download your entire collection of emails right to your hard drive. It is also possible to download all of your contacts and settings as well.
Downloading All of Your Mail
First, let’s discuss how you can download all of your emails by using a little-known function provided by Google. When you create an account, Google provides an easy way to download a copy of your data through Data Tools.
Follow these steps to download all of your data from a variety of Google Products, including Gmail.
- Go to Data Tools by clicking here.
- Click your profile image and ensure the right account is selected.
- Select Mail indicated by the green check box.
- Click the down arrow and select certain labels if you don’t want to include all of your mail.
- Click next.
- Choose file type and delivery method. This is a personal preference.
You’ll need to wait hours, or even days, as stated by Google to have your data archived and sent to you. Choosing to have a link sent to you via email to download your data is the easiest option. You can also examine the progress of your data being prepared or download the data from your Google account by clicking here and viewing recent archives.
This data will only be kept for a short period of time, so download it quickly.
Downloading Mail via a POP Client
If you’re using a POP client, such as Outlook or Thunderbird, you can download all of your mails directly to your computer. This is done by completing these steps:
- Log into your Gmail account.
- Click the gear icon under your profile picture on the top right of the screen.
- Choose settings.
- Click the Forwarding and POP/IMAP tab at the top of the screen.
Now, you will be presented with options for POP and IMAP. Under POP, you will want to choose all mail and to keep a copy of your mail in your Gmail inbox.
Once you are done altering the settings, click save and setup your email client accordingly.

Downloading Your Contacts
The contacts you have will accumulate over the months and years of using any email service. Remembering all of these contacts can be near impossible. Thankfully, Gmail allows you to easily export your contacts by following these steps:
- Go to gmail.com
- Log into your account.
- At the top left of the screen, under the Google logo click Gmail.
- Select Contacts.
- Click More -> Export.
Select the appropriate options from this step. You can choose to download all contacts and choose a format that is best suited for your needs, such as Google, Apple Address Book and Outlook.
