How to add files to your drive?
There are two methods to add files to your drive. First you can upload files for your PC and second you can create Google Drive documents. For uploading files, click on the “Up Arrow” icon adjacent to the Create icon.
Is there a way to change how files are displayed?
Yes! You can display your files either in Grid (large icon) or list (List) format. The grid mode will show a preview of all the files in the form of a thumbnail. While in list mode, you get various details about the stored files like who is the owner, when it was last modified and its size. You can change the mode by clicking on the icon with three parallel lines in the upper right corner of the page.
How to access your files?
There is a navigation bar on the left side that allows you to browse your files. In “My Drive” all your created folders and uploaded files are stored. “Shared with me” will give you access to files and documents that are shared with you by other Drive users. “Recent” will allow you to access all the recent files and documents. Through “Starred” you can access files that you have starred or marked as important.
You can perform actions on files with right click option. If you wish to share the file or create shareable link, move to another folder, add star, rename, download the file, just right click on it and perform the desired action.
• Search for files
Use search bar at the top to search through your Google Drive folders and files. Google Drive will search through content, titles and owners. If a file is found with the same keyword in the search bar, it will appear under the search bar.
• How to create everything new?
Click the NEW button. A menu will appear that will give you choices about the type of document you want to create. You have several options and by clicking on more and “Connect more apps” you can add more.
Folder: This will create a folder in your My Drive.
Google Docs: This will create a blank Google doc. You can adjust page setup and formatting with the menus and tools given at the top of the document.
Google Sheets: This will create a blank spreadsheet. You can export your Spreadsheet as PDF, MS Excel, OpenOffice, CSV and other formats.
Google Slides: This will open the Google Drive like Microsoft Power Point.
Google Forms: This will allow you to create forms that you can fill online.
• How to share your document?
Right click on the file or document you want to share. A Pop-up will ask you to enter the name or email address of the person with whom you want to share the file. Provide the details and click on done. You can decide the rights you want to give the person on the shared doc. Whether they can only read it or can make changes too.
• How to access files offline?
Google Drive allows work on your files and documents in offline mode. It is a great feature and removes any dependency on internet connectivity. You can view and edit your files when travelling or in a café with no internet connection. You have to control offline access for each device individually.
In order to turn offline access, click on the gear icon in the top right-hand corner and then select Settings. Once in the Settings section, ensure the checkbox next to Sync Google Docs, Sheets, Slides and Drawings files to this computer so that you can edit offline is ticked.
Offline setting is not recommended on public or shared computers. After enabling this feature, you can access your Drive through Chrome browser. In offline mode you can only access Google Sheets, Docs, Slides and Drawings.
• Is there a way to recover deleted files?
Deleting a file accidentally can be very frustrating. Thankfully, there is a way to deal with that in case of Goggle Drive. Google Drive has a Recycle Bin; it is called “Trash” or “Bin” depending on your region. You will see the feature in the main menu in the left-hand panel. Click on it to get access to all your deleted files.
Right click on the file that you want to restore or delete forever. In order to empty the trash, click on the dropdown menu under Trash and click on Empty trash. If you can’t find the file, then probably it was a shared file and the owner either stopped sharing it with you or deleted it. In these cases, you have to contact the owner for giving you access to the doc again.
